By accessing this website, submitting a form, purchasing a service, enrolling in a training program, or otherwise using our services, you acknowledge that you have read, understood, and agreed to these Terms.

If you do not agree with these Terms, please do not use this website or submit information through it.

1. About Road Pilot

Road Pilot provides administrative, educational, dispatch, compliance, business-registration, transportation-support, and coordination services for carriers, owner-operators, drivers, dispatchers, and other transportation professionals.

Our services may include:

• Truck dispatch support
• Fleet operations support
• Dispatcher training
• Business registration assistance
• Employer Identification Number application assistance
• Operating-authority assistance
• IRP and apportioned-plate assistance
• Safety and compliance support
• Insurance referral and coordination
• Traffic-ticket attorney referral and coordination
• Document preparation and filing assistance
• Other administrative or transportation-related services

The specific scope, price, requirements, and delivery terms of each service may be described on its corresponding webpage, application, invoice, enrollment page, or written service agreement.

2. Eligibility

You must be at least 18 years old and legally capable of entering into a binding agreement to use our paid services or submit an application.

If you use the website or purchase a service on behalf of a company, you represent that you have the authority to act for and bind that company.

Road Pilot is an administrative and filing-assistance service.

Unless expressly stated otherwise:

Information provided on this website is for general informational and administrative purposes and should not be considered a substitute for advice from a licensed attorney, accountant, tax professional, insurance professional, or government agency.

You are responsible for obtaining professional advice when necessary.

4. No Government Affiliation

Road Pilot is a private business and is not affiliated with, endorsed by, or acting on behalf of:

• The Federal Motor Carrier Safety Administration
• The United States Department of Transportation
• The Internal Revenue Service
• The Florida Department of State
• The Florida Department of Highway Safety and Motor Vehicles
• Any other federal, state, or local government agency

Government forms and filing services may be available directly from the applicable government agency. When you hire Road Pilot, you are paying for administrative assistance, document review, guidance, preparation, coordination, and related support in addition to any applicable government fees.

5. Customer Responsibilities

You agree to provide complete, current, and accurate information when submitting a form, purchasing a service, or communicating with Road Pilot.

You are responsible for:

• Reviewing all information before submission
• Providing requested documents promptly
• Ensuring that names, addresses, identification numbers, vehicle information, business information, and other details are accurate
• Informing Road Pilot immediately of any error or change
• Responding to requests for additional information
• Reviewing documents before signing or authorizing submission
• Complying with applicable laws, regulations, deadlines, and agency requirements
• Maintaining copies of records and documents relevant to your business

Road Pilot is not responsible for delays, denials, penalties, additional fees, missed deadlines, or other consequences caused by incomplete, inaccurate, outdated, misleading, or late information supplied by the customer.

6. Authorization to Provide Services

When you submit an application or select an authorization checkbox, you authorize Road Pilot to use the information provided to perform the requested administrative service.

Depending on the service, this authorization may include permission to:

• Review submitted information and documents
• Prepare forms or applications
• Communicate with you regarding corrections or missing information
• Submit authorized filings
• Communicate with government agencies or service providers
• Share necessary information with licensed insurance professionals
• Share necessary information with licensed attorneys
• Coordinate services with approved third-party providers

Submitting a form does not guarantee approval, acceptance, coverage, representation, registration, licensing, issuance of credentials, or any particular result.

7. Government and Third-Party Decisions

Government agencies, insurance providers, attorneys, brokers, financial institutions, and other third parties retain complete authority over their decisions, requirements, processing times, prices, and approvals.

Road Pilot cannot guarantee:

• Approval of a business registration
• Issuance of an EIN
• Approval or activation of operating authority
• Issuance of IRP credentials or apportioned plates
• Insurance eligibility, coverage, or pricing
• Acceptance of a traffic-ticket case
• Dismissal or reduction of a citation
• Availability or profitability of freight
• Specific rates, loads, revenue, or business results
• Processing times controlled by another organization

Estimated processing times are provided for informational purposes and may change without notice.

8. Dispatch Services

Road Pilot may provide dispatch and fleet-support services based on the service plan or written agreement selected by the customer.

Road Pilot may assist with activities such as:

• Searching for freight opportunities
• Communicating with brokers or shippers
• Rate negotiation support
• Load documentation
• Scheduling and coordination
• Operational organization
• Back-office support

Road Pilot does not guarantee the availability of loads, a minimum rate per mile, specific weekly revenue, uninterrupted operations, broker approval, or profitability.

Rates, availability, routes, and freight conditions depend on factors outside Road Pilot’s control, including market conditions, equipment, authority status, insurance, location, driver availability, broker requirements, and customer decisions.

The carrier remains responsible for:

• Final acceptance or rejection of loads
• Safe vehicle operation
• Driver supervision
• Regulatory compliance
• Insurance coverage
• Equipment condition
• Hours-of-service compliance
• Delivery performance
• All transportation and operational decisions

Additional dispatch-service terms may be included in a separate written agreement. If a conflict exists, the separate signed agreement will control for that service.

9. Training Programs

Road Pilot training programs are provided for educational purposes.

Training content may include dispatching concepts, business operations, compliance, software, communication, document handling, freight-market practices, and other transportation-industry topics.

Enrollment does not guarantee:

• Employment
• Business success
• Customer acquisition
• A specific income
• A particular number of loads
• Certification by a government agency
• Licensing or professional credentials
• Any particular business or financial result

Any examples of revenue, rates, earnings, or business results are illustrative only. Individual outcomes depend on experience, effort, market conditions, location, business decisions, and other factors outside Road Pilot’s control.

Students may not reproduce, distribute, resell, record, publish, share, or provide unauthorized access to course materials.

10. Professional Referrals

Road Pilot may connect customers with independent professionals or companies, including attorneys, insurance agents, insurance agencies, accountants, consultants, compliance providers, and other transportation-industry service providers.

Unless expressly stated in writing, these providers are independent third parties and are not employees, agents, or representatives of Road Pilot.

Road Pilot does not control and is not responsible for:

• Their professional decisions
• Their advice or representation
• Their pricing
• Their availability
• Their contracts
• Their performance
• Their results
• Their errors or omissions

Customers should review and accept each third party’s separate terms, fees, privacy practices, and professional relationship.

11. Traffic-Ticket Coordination

Road Pilot is not a law firm and does not provide legal advice or legal representation.

When requested, Road Pilot may review administrative information and coordinate the referral of a traffic-ticket matter to an independent licensed attorney or law firm.

The attorney is solely responsible for evaluating the case, deciding whether to accept representation, providing legal advice, establishing legal fees, and determining the appropriate legal strategy.

No outcome, dismissal, reduction, amendment, avoidance of points, protection of driving privileges, or insurance result is guaranteed.

12. Insurance Coordination

Road Pilot is not an insurance company or insurance agency.

Road Pilot may collect information from a carrier and share it with independent licensed insurance agencies or professionals for quote consideration.

Insurance providers are solely responsible for:

• Determining eligibility
• Requesting additional documentation
• Setting premiums and fees
• Offering or declining coverage
• Establishing policy terms
• Binding or canceling coverage
• Processing claims

Submitting insurance information through Road Pilot does not create insurance coverage. Coverage exists only after it has been formally bound and confirmed by a licensed insurance provider.

13. Prices and Payment

Prices are displayed in U.S. dollars unless otherwise stated.

You agree to pay all charges associated with the service, course, or product selected, including applicable taxes, filing fees, processing fees, or third-party charges disclosed before purchase.

Road Pilot may use third-party payment processors. By submitting payment information, you authorize the applicable payment provider to process the transaction.

Road Pilot does not intentionally store complete payment-card information on its own systems.

Prices and service offerings may change without notice. Changes will not retroactively affect a completed purchase unless required by law or agreed to by the customer.

14. Government and Third-Party Fees

Government filing fees, attorney fees, insurance premiums, payment-processing charges, and other third-party fees may be separate from Road Pilot’s service fee.

Government and third-party fees are generally nonrefundable once paid, submitted, processed, or incurred.

Road Pilot is not responsible for price changes imposed by government agencies or independent service providers.

15. Refunds and Cancellations

Refund eligibility depends on the service purchased, the work already performed, and whether government or third-party fees have been incurred.

Unless otherwise stated in writing:

• Government filing fees are nonrefundable once submitted or paid.
• Third-party fees are subject to the third party’s own policies.
• Completed administrative work is nonrefundable.
• Services already started may be partially or completely nonrefundable.
• Personalized documents, applications, reviews, and consultations may not be refundable after work begins.
• Online course purchases may qualify for a seven-day refund period unless course materials have been substantially accessed, downloaded, completed, or otherwise consumed.

If a service-specific agreement or checkout page establishes different refund terms, those service-specific terms will apply.

16. Website Accounts and Security

If the website allows account creation, you are responsible for:

• Providing accurate account information
• Protecting your username and password
• Restricting access to your account
• Notifying Road Pilot of suspected unauthorized use
• All activity conducted through your account

You may not use another person’s account or attempt to gain unauthorized access to the website, its systems, or another customer’s information.

17. Acceptable Use

You agree not to:

• Use the website for fraudulent, unlawful, or deceptive purposes
• Submit false, forged, misleading, or unauthorized documents
• Misrepresent your identity or authority
• Interfere with website operation or security
• Introduce malicious code, malware, or automated attacks
• Scrape or extract website content without permission
• Attempt to access restricted systems or information
• Copy or resell Road Pilot content or services
• Use Road Pilot’s name, branding, materials, or resources without authorization
• Violate the rights of Road Pilot, its customers, or third parties

Road Pilot may restrict or terminate access when misuse or unlawful activity is suspected.

18. Intellectual Property

All website content, including text, graphics, designs, logos, branding, videos, course materials, presentations, templates, forms, downloads, and original educational content, is owned by or licensed to Road Pilot and is protected by applicable intellectual-property laws.

You may use purchased or provided materials only for their intended personal or internal business purpose.

You may not copy, reproduce, modify, publish, distribute, record, sell, sublicense, teach, upload, or create derivative products from Road Pilot materials without prior written permission.

19. Testimonials and Results

Testimonials, reviews, examples, case studies, revenue figures, or customer experiences represent individual results.

They do not guarantee that every customer or student will achieve the same or similar outcome.

Business, training, dispatch, and financial results vary based on numerous factors outside Road Pilot’s control.

20. Electronic Communications

By submitting a form, creating an account, making a purchase, or contacting Road Pilot, you consent to receiving electronic communications related to your request.

Electronic communications may include:

• Emails
• Text messages
• Telephone calls
• Transaction confirmations
• Application updates
• Appointment reminders
• Requests for additional information
• Service notifications
• Training information

Electronic records and communications may be used to document transactions and authorizations to the extent permitted by applicable law. Florida law recognizes electronic records and electronic contracting in qualifying circumstances. Florida Statutes § 668.50

21. SMS Terms

When you voluntarily provide your telephone number and check the applicable consent box, you authorize Road Pilot to send text messages related to customer care, services, appointments, applications, transactions, training, and other communications described at the point of consent.

• Message frequency may vary.
• Message and data rates may apply.
• Consent is not a condition of purchase.
• Reply STOP to opt out.
• Reply HELP for assistance.
• You may also request to stop messages through another reasonable method.

After an opt-out request, Road Pilot may send one confirmation message. No additional messages will be sent unless you provide consent again or the communication is otherwise legally permitted.

Mobile opt-in information and consent will not be sold or shared with third parties for their independent marketing purposes. Information may be shared with communications providers only as necessary to deliver and manage the requested messages.

The FCC recognizes that recipients may withdraw consent to automated calls or texts through reasonable methods, even when consent was previously provided. FCC consumer guidance

22. Privacy

Your use of the website and submission of personal information are also governed by our Privacy & Cookies Policy.

The Privacy & Cookies Policy is incorporated into these Terms by reference.

23. Service Availability

Road Pilot may change, suspend, discontinue, or restrict any website feature, service, course, product, or content at any time.

We do not guarantee that the website will always be available, uninterrupted, secure, or error-free.

Temporary interruptions may result from maintenance, updates, third-party services, hosting issues, internet outages, cybersecurity events, or circumstances outside our control.

24. Disclaimer of Warranties

To the fullest extent permitted by law, the website, content, training, and services are provided on an “as is” and “as available” basis.

Road Pilot disclaims all warranties not expressly provided in writing, including implied warranties of merchantability, fitness for a particular purpose, accuracy, availability, and noninfringement.

Road Pilot does not warrant that:

• The website will operate without interruption or error
• All content will always be current or complete
• A government agency or third party will approve an application
• A customer will obtain a specific commercial or financial result
• Training will result in employment or income
• Dispatch services will generate a particular rate or revenue
• A referral will produce a particular professional outcome

Some jurisdictions may not permit certain warranty exclusions. In those jurisdictions, the exclusions apply only to the extent legally permitted.

25. Limitation of Liability

To the fullest extent permitted by law, Road Pilot will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, including lost profits, lost revenue, business interruption, missed opportunities, loss of data, or reputational harm.

Road Pilot is not responsible for damages resulting from:

• Incorrect or incomplete customer information
• Government delays or denials
• Third-party decisions or performance
• Market or freight conditions
• Insurance decisions
• Legal outcomes
• Broker or shipper conduct
• Website interruptions
• Unauthorized access beyond our reasonable control
• Customer failure to comply with applicable laws or requirements

To the extent liability cannot legally be excluded, Road Pilot’s total liability for a claim will not exceed the amount the customer paid directly to Road Pilot for the specific service giving rise to the claim.

This limitation does not apply where prohibited by law.

26. Indemnification

To the extent permitted by law, you agree to defend, indemnify, and hold harmless Road Pilot and its owners, employees, contractors, and representatives from claims, losses, liabilities, expenses, or damages arising from:

• Your violation of these Terms
• Your misuse of the website or services
• False, misleading, or unauthorized information you provide
• Your violation of applicable laws or regulations
• Your infringement of another person’s rights
• Your transportation, business, employment, or operational activities

27. Suspension or Termination

Road Pilot may refuse, suspend, or terminate services or website access when:

• Required information is not provided
• Payments are not completed
• Fraud or unlawful activity is suspected
• A customer submits false or unauthorized information
• A customer abuses staff, providers, systems, or communication channels
• Continuing the service could violate a law, regulation, contract, or professional obligation
• These Terms or a separate service agreement are violated

Termination does not eliminate payment obligations for services already performed or costs already incurred.

28. Governing Law

These Terms are governed by the laws of the State of Florida, without regard to conflict-of-law principles, except where another applicable law provides otherwise.

Any legal proceeding arising from these Terms or the use of Road Pilot’s services must be brought before a court of competent jurisdiction in Florida, unless applicable law requires a different forum.

29. Changes to These Terms

Road Pilot may update these Terms periodically to reflect changes to services, business practices, technology, or legal requirements.

Revised Terms will be posted on this page with an updated effective date.

Changes will apply prospectively unless otherwise stated or legally required. Material changes affecting an active paid service may also be communicated through email, account notice, or another reasonable method.

The FTC advises that material online disclosures should be clear and conspicuous and that changes should not be presented deceptively. FTC business guidance

30. Severability

If any provision of these Terms is determined to be invalid or unenforceable, that provision will be limited or removed only to the extent necessary.

The remaining provisions will continue in full force and effect.

31. No Waiver

Road Pilot’s failure to enforce a provision of these Terms does not waive its right to enforce that provision later.

Any waiver must be provided in writing by an authorized Road Pilot representative.

32. Entire Agreement

These Terms, our Privacy & Cookies Policy, Refund & Cancellation Policy, applicable checkout terms, and any separate written service agreement constitute the agreement between you and Road Pilot regarding the applicable website use or service.

If a separate signed service agreement conflicts with these general Terms, the separate agreement will control for that specific service.
